Connect your own Brevo email, WhatsApp Business number, Stripe or Razorpay and Zoho Books — test each one, disconnect it, and see every send, sync and payment in the activity log.

Integrations connect Zaptiz to the services your documents and money travel through. Each provider has a card that says whether it is connected, what it is used for, and what happens when it is not.

What each one does​

The heading shows how many of the five are connected. Each card's tag reads connected, needs setup, reconnect or not connected.

Payments always use your own account

Email and WhatsApp can fall back to a shared Zaptiz sender. Online payments never do: a pay link is created only on your own Stripe or Razorpay account, so your client's money goes straight to your bank. Until you connect one, the Pay link tab on an invoice asks you to.

Connect Brevo email​

  1. In Brevo, create an API key (SMTP & API › API Keys › Generate a new API key). Your sending address must be a verified sender in Brevo.
  2. On the Brevo email card, click Connect Brevo.
  3. Paste the Brevo API key and click Verify and save. The key is checked with Brevo before it is stored, and stored encrypted.
  4. In Send as, pick the sender address. Addresses not yet verified in Brevo are greyed out.
  5. Type your address in the test box and click Send test.

Connect WhatsApp​

  1. From Meta for Developers (your app › WhatsApp › API Setup), copy a permanent access token, the Phone number ID and the WhatsApp Business Account ID.
  2. On the WhatsApp card, click Connect WhatsApp and fill Access token, Phone number ID and WhatsApp Business Account ID. App secret and Webhook verify token are optional and let Zaptiz receive replies.
  3. Click Verify and save.
  4. Click Sync templates to load your approved message templates.
  5. Enter a number with country code and click Send hello_world to test.

To receive replies, paste the webhook address and verify token shown on the card into Meta's webhook settings.

The 24-hour rule

WhatsApp only delivers a free-form message to someone who has messaged your number in the last 24 hours. For a first contact, send an approved template from the document's Send dialog.

Connect Stripe or Razorpay​

  1. On the Stripe card click Connect Stripe and paste the Secret key (sk_test_… or sk_live_…). On the Razorpay card click Connect Razorpay and enter the Key ID and Key secret.
  2. Optionally add the webhook signing secret. With a webhook pointing at the address shown in the dialog, a paid link is recorded the moment the client pays. Without one, payments are recorded when someone clicks Check payment status on the invoice.
  3. Click Verify and save. The card shows Mode — test or live — so you can tell a trial key from a real one.

When both are connected, the person creating a pay link picks the gateway.

Connect Zoho Books​

  1. On the Zoho Books card, click Connect Zoho Books. Zoho asks you to approve access, then sends you back.
  2. Pick the Organisation to export to.
  3. Use Sync all clients and Sync all vendors to push your masters.

Tax invoices and purchase orders are exported one at a time from their Send dialog, on the Zoho Books tab. Exporting again updates the same Zoho record rather than making a duplicate. If the card says Zoho is not configured yet, email support@zaptiz.com.

Update or disconnect​

  • Replace key, Update or Update keys re-opens the connect form. For Stripe and Razorpay, leave the secret blank to keep the stored one.
  • Disconnect deletes the stored credentials after you confirm. Email and WhatsApp fall back to the shared sender; pay links stop being available.
  • A card showing reconnect means the provider rejected the stored key — for example it was revoked. The reason shows on the card. Connect again with a new key.

The activity log​

Activity at the bottom lists every send, sync, payment and inbound message: When, Provider, What, Detail, By (or system for webhooks) and Result — ok, failed or skipped. Filter with All providers; page with Newer and Older.

The same entries for one document show under Recent activity in that document's Send dialog.

Who can use what​

Only a Company Admin can open this page and connect or disconnect. Using a connection follows the document: the Accountant sends invoices, the QS or Project Manager sends RA bills, the Project Manager sends quotations, the Procurement Manager sends purchase orders. Nobody but an admin sees the keys, and even an admin sees only the last characters.
