The project workspace

Every job you run lives in one project workspace โ€” a header, a row of tabs and a team. See what each tab is for, who sees it, and the rules that hold across all of them.

  • Everyone

A project is the boundary everything else sits inside. Its BOQ, budget, indents, purchase orders, DPRs, RA bills, drawings, snags and photos all belong to one project, and the people on its team are the only ones (apart from the Company Admin) who can open it.

Open a projectโ€‹

  1. In the sidebar, under Projects, click Projects.
  2. The list shows Code, Name, Status and Contract for every project you are on. The note beside the heading says how many are "on your team".
  3. Click a row, or the project name, to open it. It opens on the Overview tab.

Once you are inside, the Switch project drop-down in the header moves you to another of your projects without going back to the list.

If the list says No projects yet โ€” or none you are on the team of., nobody has added you to a project team. Ask the project manager or your Company Admin.

The project headerโ€‹

PartWhat it shows
Code and nameThe project number (for example PRJ/26-27/0014) and the project name.
Switch projectEvery project you can open, as short code and name.
TeamOpens the project team โ€” who is on this job and what they may approve.
Status pillWhere the job is in its life. On hold turns amber and Cancelled red.
KPI stripContract, Budget cost, Progress (value of certified work) and Forecast margin. Shown only to people who may see this project's money.

The tabsโ€‹

The tab bar is built for you. A tab appears only when your role is allowed to read what is behind it, so a Site Engineer sees Site, Drawings and Snags but not Budget or Billing. Thin lines in the bar separate the groups below.

Who works hereโ€‹

RoleWhat they do in the workspace
Company AdminCreates projects, awards contracts, sets and revises budgets, closes jobs. Opens every project without being on its team.
Project ManagerRuns the projects they are on: edits details, phases and milestones, manages the team, approves indents and DPRs, and certifies bills where the team list allows it.
QS / EstimatorBOQ, takeoff, change orders, RA bills.
Site Engineer, Store Keeper, Safety Officer, QA/QC EngineerTheir own tabs โ€” DPRs, stores, safety, quality, snags โ€” plus drawings, documents and photos.
AccountantBilling, invoices, budget and costs on the projects they are on.

Rules that hold across every tabโ€‹

The team is the door

Apart from the Company Admin, nobody can open a project they are not on the team of โ€” not even a Project Manager or an Accountant. A link to someone else's project shows Project not found โ€” It may not exist, or you may not be on its team. Ask the project manager to add you. The app answers "not found" rather than "not allowed" on purpose, so nobody can discover which projects exist.

  • Money is shown only to those who may see it. On a project, contract value, budget cost and margin show for the Company Admin, for Project Managers and Accountants, and for anyone the team list marks Sees financials. Everyone else sees quantities and dates, with Contract and budget figures are not shown for your role on this project. where the money would be.
  • A Closed or Cancelled project takes no new work. DPRs, orders, receipts, variations and new bills are refused. Money already owed still moves: invoices for certified bills, retention release and payments.
  • The budget is built at cost. It carries no profit, so the gap between it and the contract is your planned margin. See Budget.
