Cash-flow Forecast
The next 30, 60 and 90 days of cash in and out from what Zaptiz already knows — receipts by due date, retention, certified bills not invoiced, committed costs — with shortfalls flagged.
For a contractor the pain is usually cash, not margin: RA payments that arrive late, retention nobody chases, certified work nobody invoiced. This agent puts the money the system already knows about on a calendar.

What it reads
For every project you can open that is not a prospect or closed (up to 40), or the one you choose:
- Client invoices issued or partly paid — outstanding amounts and due dates.
- Retention, both ways — held by the client and held from subcontractors — with release dates.
- Bills certified but not invoiced, and bills submitted but not yet certified.
- Committed cost (ordered, not yet received) and actual cost.
- Payments made on the project.
What you get
- Key figures: Coming in (90 days), Going out (90 days), Net movement (90 days), Lowest running total, Overdue, at risk, Projects read, Parts not visible to you.
- 90-day cash view — Period, In, Out, Net, Running total for 0–30, 31–60 and 61–90 days, with the overdue amount on its own line.
- Where it comes from and goes to — each source by period.
- By project (next 90 days), Assumptions and What this forecast could not see.
How each amount is placed
| Source | Placed on |
|---|---|
| Client invoices outstanding | Their due date (the invoice date when none was set) |
| Retention due back from clients | Its release date |
| Certified, not yet invoiced | Assumed invoiced today and paid 45 days later |
| Open orders and subcontracts (committed) | Paid evenly over the next 90 days |
| Cost incurred, not yet paid | Actual cost less payments made, in 0–30 days |
| Retention due to subcontractors | Its release date; if already past, in 0–30 days |
Not included: GST and TDS payable, salaries and head-office overheads not booked to a project, bills submitted but not certified, and retention with no release date (shown separately).
An invoice already past its due date is shown on the overdue line and is not counted as coming in. A forecast that assumes every late payer pays this month is the one that runs a contractor out of cash. Late money out, on the other hand, is still owed, so it is counted.
Alerts
| Alert | Severity |
|---|---|
| The running total goes below zero — "Cash may run short within …" | High |
| More going out than coming in over one period | Medium |
| Overdue from a client — oldest more than 60 days, or ₹10,00,000 or more | High (else medium) |
| Retention past its release date and not released | Medium |
| A bill certified more than 7 days ago and still not invoiced — "raise the invoice" | Medium |
| A project paying out at least twice what it collects over 90 days, and ₹1,00,000 or more beyond it | Medium |
Run it
- In the sidebar, open Workspaces › Finance and click Cash-flow Forecast under AI agents (or AI › AI Agents).
- Leave Project on All projects for the company view, or choose one.
- Click Run agent.
- Find the lowest running total, then work the overdue and "raise the invoice" alerts.
Run it every week
It can run itself every Monday at 08:00 — off until your Company Admin switches it on in its Schedule & delivery panel. Each Company Admin and Accountant then gets their own run. The admin can change the assumptions there: Invoice to cash days, Count overdue as inflow, Commitment spread days, Overdue high days, Overdue high amount, Raise invoice after days, Imbalance ratio, Imbalance min amount.
Safeguards
- It creates nothing.
- It never guesses what you cannot see. A part you cannot read — retention, receivables, project cost — is left out and named under What this forecast could not see. A QS / Estimator, who reads invoices but not cost, gets the money coming in with a clear "outflows not included".
- Anyone but a Company Admin sees only the projects they are on, and the report says so.
Tips
- Add your cash in the bank to the running total — Zaptiz keeps no bank balance, so this is movement, not a balance.
- Set release dates on retention entries; undated retention cannot be placed.
- Raise invoices as soon as bills are certified. The payment clock starts at the invoice.
