RA Bill Drafting Assistant

Get the next running-account bill's quantities proposed from what was executed and certified, capped at contract quantity, as a draft RA bill โ€” the bill itself works out the money.

It proposes the quantity to date for each contract BOQ line on the next RA bill, and checks it against the contract before you see it. It works out no money at all: rates, gross, retention, recoveries and net payable are calculated by the RA bill itself when the draft is created.

What it readsโ€‹

  • The project's contract BOQ โ€” contract, executed and certified quantity for each line.
  • The RA bills raised so far, their status and certified quantities.
  • Back-to-back subcontract lines and how much the subcontractor has been measured for.
  • Your own measurements for this period, if you give them (see Run it, below).

If you cannot see project cost, it reads the same quantities from the contract BOQ and the certified bills instead โ€” the result is the same.

What you getโ€‹

  • Proposed measurement โ€” Item, Description, Unit, Contract, Certified, To date, This bill, Basis. "This bill" is to date less what the client has already certified.
  • Key figures: Lines proposed, Executed, not measured, Re-billed (not yet certified), Capped at contract, Contract BOQ lines read.
  • Check before you confirm, and one draft, Draft RA bill.

Where each quantity comes from โ€” in this order:

The checks

  • A line is proposed only when this bill claims something new โ€” nothing is padded in.
  • Quantity to date is capped at the contract quantity. The excess is flagged high: it "needs an approved variation before it can be billed".
  • A line already certified up to its contract quantity, with more recorded on site, is flagged high: nothing more can be billed without a variation.
  • Period from defaults to the day after the last certified bill's period ended; Period to defaults to today.

Run itโ€‹

  1. In the sidebar, open Workspaces โ€บ Finance and click RA Bill Drafting Assistant under AI agents (a QS / Estimator finds it in AI โ€บ AI Agents).
  2. Choose the Project.
  3. Set Period from and Period to, or leave them for the defaults.
  4. Click Run agent.
  5. Read every flagged line, then open the Draft RA bill card, check the Preview, and click Confirm โ€” create draft.
  6. Open the bill on the project's Billing tab. Check the amounts the bill worked out, then submit it as usual.

The agent page has no box for this period's measurements, so a run from the page proposes only re-billed and subcontract-measured quantities. To include your measurement book, ask the Zaptiz Assistant to run it with them โ€” for example "Run the RA bill assistant for Tower B: item 2.1 at 450 cum to date, MB 12/34". A measurement whose item code is not on the contract BOQ is left out and flagged.

Safeguardsโ€‹

One open bill at a time

If a bill on the project is still Draft, Submitted or Under certification, the agent drafts nothing and names the bill in the way. "Previously billed" means previously certified, and there is no honest figure for it while a bill is in flight.

  • It creates a draft bill only. You submit it, and the client certifies it, through the normal screens.
  • The over-billing check runs again when you confirm, and the bill's own check is the one that counts.
  • No contract BOQ means nothing to bill against โ€” record the award first.
  • Running it and confirming its draft both need the right to create RA bills. The draft stays confirmable for 3 days.

Tipsโ€‹

  • Draft the next bill as soon as the last one is certified, so the period runs on without gaps.
  • An "executed but not measured" line is money on the table โ€” the subcontractor is ahead of your own billing.
  • Raise the change order for any capped line before the next bill, not after.
