Clients
Keep one record per client — GSTIN, state code, address, credit days, contacts and sites — and see every enquiry, quotation, contract and project for them.
Every quotation, contract and project names a client, so the client master is usually the first thing you fill in.

Add a client
- Open Clients (under Masters in the sidebar) and click New client.
- Enter a Code — short, unique and yours, such as
EMERALD— and the Name. - Pick the Type: developer, builder, government, PSU, corporate, individual or other.
- Add the GSTIN and the State code (the two-digit GST code, such as 29). An individual may have no GSTIN; leave it blank.
- Add City, Phone, Email and Credit days. Credit days drive the due date on invoices you raise to this client.
- Click Save client.
Two clients cannot share a code. A prospect logged as a lead can also become a client in one step — see Convert a prospect to a client.
Complete the record
Click the client's name in the list, then Edit. Beyond the fields above you can set:
| Field | Use it for |
|---|---|
| Legal name | The registered name, if it differs from the name you use day to day |
| PAN | Ten characters |
| Address line 1, Address line 2, City, State, PIN code | The client's billing address |
| Website, Notes | Anything else |
| Active | Untick to retire a client without losing their history |
Each client has one billing address. If a client is billed from more than one office, keep those as separate client records.
Click Save changes.
Contacts
The Contacts panel holds the people you deal with. Fill in Name, Designation, Phone and Email, tick Primary if this is the main contact, and click Add contact. Use Make primary or Remove on any row.
When you email or WhatsApp a quotation or invoice, the client's own email and phone are used first, then the primary contact's.
Sites
The Sites panel lists the plots or locations you work at for this client — a reference list of addresses, state codes and site contacts, kept before any project exists there. Click Add site, fill in Code, Name, Address, City, State code, PIN code, Site contact and Contact phone, and click Save site.
For a works contract, the place of supply is where the work is done. Invoices take it from the project's state code — the site — and fall back to the client's own state code only when the project has none. A client registered in Karnataka with a site in Tamil Nadu is billed with Tamil Nadu's code, so enter the site's state code on the project when you create it at the award.
See all the work for a client
Below the record, the client page lists everything that names them: Enquiries, Quotations (with totals if you can see rates), Contracts and Projects. Each panel appears only if your role can read that kind of document.
Sync to Zoho Books
If your company has connected Zoho Books, a Sync to Zoho Books button appears at the top of the client list for the Company Admin and the Accountant. It pushes every client to Zoho Books as a contact and reports how many were synced. Clients already in Zoho Books carry a green zoho tag in the list. To connect Zoho Books, see Integrations.
Remove a client
Delete removes a client only if no project names them. If one does, you will see a message naming the projects — untick Active instead.
