Project team

Put people on a project, record what they are there for, and decide who sees the money and who may approve indents, approve DPRs and certify bills.

Being on the team is what gives someone access to a project at all. The same list also holds four switches per person โ€” who sees the money, and who may approve on this job.

Open the project and click Team in the dark header bar, next to Switch project.

Who can open a projectโ€‹

Company AdminEvery project in the company. They do not need to be on the team.
Everyone else โ€” Project Manager, Accountant and every site roleOnly the projects whose team they are on.

A project you are not on does not appear in your list, and a link to it shows Project not found. Removing someone from the team closes the project to them at once.

Everyone on the team can see the team list. Only a Project Manager on the team or the Company Admin can change it.

Add someoneโ€‹

  1. In Add someone, enter the person's User id.
  2. Choose their Role on this project.
  3. Tick Sees financials on this project if they should see contract value, budget and margin here.
  4. Click Add to team. They can open the project straight away.
The User id is not a name or an email

The User id field needs the person's internal user code, and no screen in the app shows that code. The team list also shows people by this code rather than by name. Until that changes, the dependable way to put a manager on a project is the Project manager field under Edit project on the Overview tab, which lists people by name. For anyone else, write to support@zaptiz.com with the person's email and the project.

Naming someone Project manager under Edit project adds them to the team as Project manager with Indents, DPR and Certifies ticked, and Financials too if you can see the money yourself. See Create and edit projects.

Roles on the projectโ€‹

The role on the project is a label โ€” what the person is there for. It appears beside their name where people are picked, for example when assigning a safety action. What they can do still comes from their company role (see Roles and permissions).

Decide who sees money and who approvesโ€‹

Each person has four ticks in the grid. A tick saves the moment you click it.

Certifying a bill needs two things

To certify an RA bill a person needs a role that is allowed to certify โ€” Project Manager โ€” and the Certifies tick on this project. A Project Manager without the tick cannot certify here, and the tick does nothing for someone whose role cannot certify. Certification is what turns a claim into revenue, so it is granted job by job. The Company Admin can always certify.

You cannot give Financials to someone if you cannot see this project's money yourself. The app answers You cannot grant financial visibility you do not hold on this project.

Remove someoneโ€‹

  1. Click Remove at the end of their row.
  2. Answer Why is this person leaving the team? โ€” a reason is required.
  3. They lose access to the project immediately.

Their DPRs, approvals and other records stay on the project under their name, and the reason is kept on the Timeline. If you add the same person again later, their old membership is reactivated with the role and ticks you choose.

Tipsโ€‹

  • Add the store keeper, safety officer and QA/QC engineer as soon as the project is created โ€” until they are on the team they cannot raise anything on it.
  • Keep Certifies to the one or two people who actually sign bills with the client.
  • Review the ticks when someone moves to another site; removing them from the team is cleaner than unticking.
