Schedule and work breakdown

Break the job into phases, record planned and actual dates, status and progress for each, and keep the project's location tree in order.

The Schedule tab holds the project's work breakdown โ€” its phases, such as Substructure โ€บ Foundations โ€บ Pile caps โ€” and, below it, the location tree. It is a structured list with dates and progress, not a bar chart.

Everyone on the project whose role works with site tasks can see this tab โ€” every role except the Accountant. Only a Project Manager on the team or the Company Admin can add or edit phases and locations; for everyone else the tree is read-only.

Plastering happens in every flat, and Flat 704 hosts every trade, so the two are kept apart. Milestones, the labour muster and equipment deployments and logs can be booked to a phase; snags, photos, inspections and DPRs point at a location.

Add a phaseโ€‹

  1. Open the project and go to the Schedule tab.
  2. In Add a phase, choose the Parent โ€” or โ€” top level โ€” for a main phase.
  3. Enter a Code (for example 1.1) and a Name (for example Foundations). Codes must be unique within the project.
  4. Click Add phase.

The phase appears in Work breakdown, indented under its parent, with status Planned and 0%.

Record plan and actualโ€‹

  1. Click a phase in the Work breakdown tree. Its edit panel opens on the right.
  2. Update the fields you need.
  3. Click Save phase.

The tree shows each phase's status and progress at a glance. The planned and actual dates are in the edit panel.

Which phases show progress

A progress figure can be typed only on a phase set to Manual. The Schedule tab does not at present calculate progress for Quantity or Milestone phases, so they stay at 0%. If you want this tab to show progress, switch the phase to Manual and enter it. The Progress figure in the project header is a different measure โ€” the value of work the client has certified โ€” and does not come from here.

Milestones: planned against achievedโ€‹

Milestones live on the Overview tab. Each one carries a Planned and an Achieved date and a status (Pending, Achieved, Certified, Billed), and can be linked to a phase. See Add milestones.

Keep the location tree tidyโ€‹

The Locations table at the bottom of the tab lists every location with its Code, name, Type, Seq and State. New locations are added on the Site tab (Locations โ€บ Add a location).

To change one:

  1. Click Edit on its row.
  2. Change the Name or Sequence, move it under a different Parent (or โ€” top level โ€”), or untick Active.
  3. Click Save location.

Moving a location takes everything beneath it along. You cannot move a location under itself or under one of its own children โ€” the app answers A location cannot be moved under itself or its own descendant.

Locations are never deleted. Untick Active for one you no longer use; it stays in the list, faded, so older snags and photos still say where they were.

Tipsโ€‹

  • Set up the phases before work starts, so the muster and equipment logs can be booked against them from the first day โ€” that is what fills the by-phase cost on the Budget tab.
  • Use Revised end and Extension of time (days) on the project itself (Overview โ€บ Edit project) for the overall programme; use phase dates for the parts.
  • Keep location codes short and painted on site โ€” B-704 is what a site engineer will type on a phone.
