Leads
Log every enquiry and tender, move it through your funnel, record calls and site visits, and convert the prospect to a client when it is time to quote.
A lead is an enquiry before it has a price โ a walk-in villa, a builder's repeat order, a government tender. The Leads page shows the whole funnel at a glance; each lead keeps its own history.

Log a new leadโ
- Open Leads from the sidebar and click New lead.
- Choose New prospect (someone who is not yet a client) or Existing client.
- For a prospect, fill in Company / family, Contact person, Phone and Email. For an existing client, pick them under Client.
- Give it a Title โ for example "G+2 villa at Whitefield".
- Add what you know: Source, Project type, Site city, Site state code (the two-digit GST code, such as 29), Estimated value (โน), Built-up area (sqft), Expected close, Tender reference, Bid due date and Notes.
- Click Create lead. The lead opens, numbered like
LD/26-27/0001, in the New stage, and you are its owner.
You must name who the enquiry is from โ a client, a company or a contact person.
Work the funnelโ
The page opens on the Board: one column per open stage, each card showing the number, title, who it is from, city, value and probability. Switch to Table to search and sort. Use Search (title, number, company, contact, city) and Status to filter; Open (all stages) is the default and Everything includes closed leads.
To move a lead, open it and use the Status panel: pick a stage under Move to and click Apply. Open stages move freely in either direction โ enquiries go quiet and come back.

Closing sets the probability to 100% (won) or 0% (lost, dropped). Reopening sets it back to 10%.
Let the bid move the lead for youโ
You rarely move a lead by hand once pricing starts. Link the lead to the quotation and the stages follow:

A quotation marked negotiating or lost does not move the lead โ move it to Negotiation or Lost yourself.
On the lead, Start estimation opens a new quotation with this lead already selected.
Record follow-upsโ
The Activity panel is the lead's timeline. To log a follow-up, pick a Kind (note, call, meeting, site visit or email), type a Summary, add Details if needed, set When (blank means now) and click Log. Stage changes, owner changes, linked quotations and conversion are written here automatically.
Last activity on the lead shows when anyone last touched it. A meeting logged with a future date does not count as activity โ it is a plan.
Edit, reassign or deleteโ
Click Edit to change any detail, including Probability % and Owner โ hand a lead to another estimator here. Delete removes a lead that is not won; a won lead is kept as the history of the project.
A Project Manager can read every lead but cannot create, edit or move one; that is the QS / Estimator's and the Company Admin's work.
Convert a prospect to a clientโ
A quotation needs a client. When a prospect is ready to be priced:
- Open the lead. The Convert to client panel shows while the lead has no client.
- Enter a Client code โ your short name for them, such as
RAO. - Check Name, and add GSTIN and State code (registered office, for place of supply).
- Click Convert. The client is created with the lead's city, phone and email, the lead's contact person is added as the primary contact (when different from the client name), and the lead is linked to it.
Only the Company Admin can convert a lead, because converting creates a client. If you are a QS / Estimator, ask your admin to convert it โ or to create the client so you can link it under Edit.

Estimated values are shown only to roles that can see quotation or BOQ rates.
