Project timeline

See every change made on a project, newest first โ€” what changed, who changed it, when, and the reason they gave.

The Timeline is the project's history, read straight from the audit trail. Every change the app saves writes its history line at the same moment, so nothing that is recorded can be missing from it, and nobody can edit or remove a line afterwards.

Everyone on the project team can open the Timeline, whatever their role.

Read the timelineโ€‹

  1. Open the project and click the Timeline tab.
  2. Events are listed newest first, under a heading for each day.
  3. At the bottom, click Older events to load the next 50.
ColumnWhat it shows
WhenDate and time of the change.
RecordWhat kind of record changed โ€” project, RA bill, purchase order, snag, drawing revision, project team member.
ActionWhat happened, for example Create, Update, Approve, Submit, Certify, Issue, Revise, Reject, Cancel, Delete. Creations and approvals are green; rejections, cancellations and deletions red.
ByThe person's name and their company role, as they were at the time. "System" when the app made the change itself.
What changedThe names of the fields that changed, and the Reason when one was given.

Names and roles are recorded when the change is made. If someone is later renamed or changes role, older lines still show who they were then.

Field names, never figures

The Timeline says which fields changed โ€” "revised budget cost", "certified quantity" โ€” but never the old or new values. Everyone on the team can read it, including people who are not allowed to see rates and amounts, so the numbers stay on the record itself, behind its own permissions.

Filter by record typeโ€‹

Use the drop-down at the top right. Everything is the default; you can narrow to one record type: Project, Project phase, Project location, BOQ, Contract, Change order, Material request, Purchase order, Goods receipt, RA bill, Invoice, Daily progress report, Snag, Inspection request, Non conformance, Safety event, or Drawing.

Records not in that list โ€” team changes, drawing revisions, milestones, project documents and more โ€” still appear under Everything.

Who removed someone from the team, and whyProject team member ยท Delete, with the reason they typed.

Why the budget changed, and which lines it could not priceProject ยท Approve, reason "Budget derived from โ€ฆ at rate-analysis cost โ€ฆ".
Who issued a drawing for constructionDrawing revision ยท Approve or Issue.
Who moved the project to On holdProject ยท Update, "status" in What changed.

Reasons that the app requires โ€” removing a team member, revising a budget, approving or rejecting a change order, rejecting an RA bill โ€” always appear here, word for word.

What does not appearโ€‹

  • Photos. Uploading or deleting a site photo is not recorded.
  • Locations. Adding, renaming or moving a location is not recorded, so filtering on Project location shows nothing.
  • Things outside the project, such as changes to a client, vendor or resource in the company masters.

Tipsโ€‹

  • Before a client meeting, filter on RA bill or Change order to see the whole history of a claim in one list.
  • When you change something that will be questioned later, fill the optional reason box โ€” Edit project has one. It is the only place your explanation is kept.
