Quotations

Turn a priced BOQ into an offer, sharpen it without touching the estimate, send it to the client, revise it when they come back, and record the outcome.

A quotation is the offer the client sees. It starts as a copy of a BOQ β€” or as a blank sheet for a small job β€” and from then on it is its own document: you can discount it or adjust a rate to win the job while the BOQ keeps your estimate.

Create a quotation​

You can start from three places: New quotation on the Quotations page, New quotation from this BOQ in the BOQ builder, or Start estimation on a lead.

  1. Under From BOQ, pick the BOQ. Its lines and its overhead, profit and contingency percentages are copied. Choose β€” no BOQ, type the lines β€” for a small job.
  2. Pick the Lead this bid answers, if there is one. The lead's stage moves with the bid.
  3. Pick the Client. If you leave it blank, the client of the BOQ's project or of the lead is used β€” the hint says which.
  4. Check the Title (blank uses the BOQ's name), Dated (blank is today) and Valid until.
  5. Enter Discount % and Tax % (for example 18 for GST), and any Terms and Notes.
  6. Click Create draft. The quotation is numbered like QTN/26-27/0001 and opens as a Draft.

If the lead has no client yet, you must pick a client or convert the lead first. A superseded BOQ, or a budget BOQ, cannot be quoted from.

Sharpen the draft​

While it is a Draft you can:

  • Click Edit on a line to change its quantity or rate, then Save.
  • Click Add line to add a line by hand: Code, Type, Section, Description, Unit, Quantity, Rate.
  • Change the Draft header: Title, Valid until, Overhead %, Profit %, Contingency %, Discount %, Tax %, Terms, Notes. Click Save header.

Nothing you change here touches the BOQ.

Tax is charged after the discount, because GST is due on what the client actually pays.

Send it to the client​

  1. Open the quotation. Optionally set Valid until (optional).
  2. Click Send to client. The quotation becomes Sent, the date and sender are recorded, and a linked lead moves to Proposal sent.
  3. Click Send (the paper-plane button) to deliver it β€” by Email, WhatsApp, or This device to use your phone's share sheet. The message carries the title, revision, validity, net amount, GST and quoted total.

A quotation with no lines, or one that totals β‚Ή0, cannot be sent.

Send to client and Send are two different buttons

Send to client marks the bid as offered and locks it. Send delivers the message; it does not change the status. Do both. Email and WhatsApp need your company's integrations set up β€” see Integrations. There is no printable PDF of a quotation yet.

Won is set only by awarding a contract β€” see Contracts. Lost, expired and won quotations are read-only.

A sent quotation does not expire by itself. When its Valid until date has passed, the register tags it lapsed so you can follow up or mark it expired.

Revise a quotation​

A bid the client has seen is never edited in place. Click Revise, say what changed for the client, and click Create revision. The new revision keeps the same number with the next revision mark (R2, R3…), copies the lines and terms, and opens as a Draft for you to change and send again. The earlier one is tagged superseded, keeps its status, and stays in the register so you can see what you quoted last time.

The register​

The KPI strip shows Live quotations (superseded excluded), Out with a client, Value outstanding and Won. Filter by status, or search by number or title. Superseded revisions are dimmed; Project shows pre-award until the award links one.
