Drawings and revisions
Keep one drawing register per project, upload each revision as it arrives, issue the right one for construction, and make sure nobody builds from a superseded sheet.
The register shows the current revision of every drawing β the sheet to build from β and keeps every older revision one click away. Revisions are never deleted or overwritten.

| Who | What they can do |
|---|---|
| Everyone on the project except the Accountant | View, open, download and share drawings. |
| Site Engineer | Also register drawings and upload revisions as Draft or Issued for review. |
| Project Manager, Company Admin | Also issue revisions for construction or as built, and cancel pending revisions. |
Register a drawingβ
- Open the project and go to the Drawings tab.
- Click Add drawing.
- Enter the Drawing number exactly as printed in the title block, and the Title.
- Choose the Discipline (Architectural, Structural, MEP electrical, MEP plumbing, MEP HVAC, Fire fighting, Landscape, Interior, Civil, Shop drawing, As built, Other) and, optionally, the Kind (Plan, Section, Elevation, Detail, Schedule, Layout, Isometric).
- Click Register drawing.
The drawing appears under its discipline with no sheet until you upload its first revision. A drawing number can be registered only once per project.
Upload a revisionβ
- On the drawing's row, click Upload revision.
- Choose the File β PDF, PNG, JPEG, DWG or DXF.
- Enter the Revision code as stamped on the sheet: A, B, P1, C02.
- Choose the Status: Draft or Issued for review. A Project Manager or Company Admin also sees Issued for construction and As built.
- Optionally fill Issued date, Received date and What changed.
- Click Upload.
Before you upload, the form tells you what will happen: either Rev B will be superseded β the site will be told to build from this sheet. or Rev B stays current; this revision waits until it is issued.
Which revision is currentβ
| You uploadβ¦ | β¦and the current revision is | Result |
|---|---|---|
| The first revision | β | It becomes current. |
| Issued for construction or As built | Anything | It becomes current; the old one is Superseded. |
| Draft or Issued for review | Draft or Issued for review | It becomes current; the old one is Superseded. |
| Draft or Issued for review | Issued for construction or As built | It waits as pending. The site keeps building from the issued sheet. |
A consultant's Rev C "for review" arriving while site builds from Rev B "for construction" does not change what site should build. That is why it waits.
Issue a pending revisionβ
- On the drawing's row, click History.
- On the pending revision, click Issue for construction.
It becomes current at once and the previous current revision is marked Superseded in the same step. Any older pending revisions are superseded with it. To withdraw a pending revision instead, click Cancel on it.
Issue for construction appears only on pending revisions. A revision that is already current β for example a first sheet uploaded as Draft β cannot be promoted from History. When the construction issue arrives, upload it as a new revision (usually with the consultant's new code, such as C01) with status Issued for construction.
Cancelling the current revision would leave site with no drawing, so the app refuses: The current revision cannot be cancelled β the site would be left with no drawing. Issue its replacement instead. Likewise an older revision cannot be issued over a newer current one.
View, download and shareβ
- Open shows the current sheet in the browser (PDF and images; DWG and DXF download).
- History lists every revision with its status, what changed, issue date and size, and a Download for each. The current one is tagged current; a superseded one is struck through with "use Rev C" beside it.
- Show superseded adds the older revisions under each drawing in the register, struck through. Hide superseded takes them away again.
- Use the search box (Number or title) and the discipline list to narrow the register.
- Share sends the sheet itself β on a phone, straight to WhatsApp or mail. The message names the revision and its status, so a forwarded superseded sheet still says so. See Sharing.
The KPI strip counts Drawings, those Issued for construction, Pending revisions (uploaded, not yet issued) and drawings with No sheet yet.
If an upload is refusedβ
| Message | What to do |
|---|---|
| Revision C of A-101 already exists. Revisions are never replaced β upload it under a new revision code. | Check the code on the sheet. If it really is a corrected Rev C, ask the consultant for a new code. |
| Drawing A-101 is already in this project's register. | Upload a revision on the existing row instead of registering it again. |
| Unsupported file type. Accepted here: DWG, DXF, JPEG, PDF, PNG. | Export to PDF. |
| The file is named .pdf but its content is PNG. Rename it or upload the right file. | The app checks what the file really is, not its name. Fix the extension. |
| This file is larger than the 50 MB limit. | Split the set or reduce the scan resolution. |
Tipsβ
- Register the whole drawing list from the consultant's transmittal first, then upload sheets as they arrive β No sheet yet becomes your chase list.
- Ask site to check Pending revisions each morning; a pending sheet is one the consultant has sent but nobody has issued.
- Measure quantities from drawing sets on the Takeoff tab, not here β see Takeoff.
